The ten things owners ask before a diagnostic. If yours isn’t here, ask me on a call or by email.

What kind of businesses do you work with?

Residential HVAC contractors in the US, roughly 10 to 60 employees and $2M to $50M in revenue. Plumbing, electrical and other home service businesses fit too, when the work runs the same way: a call, a booked job, a truck, an invoice.

If you are under about eight employees, or don’t use field service software yet, the diagnostic won’t pay back. I’ll say so on the first call.

Will you need to talk to my staff?

Yes. Twenty to thirty minutes each with four to eight people: CSRs, your dispatcher, the office manager and a couple of senior techs. I schedule around their day.

This is the part that makes the diagnostic work. The data shows what happened. Your people know why.

Do I need ServiceTitan?

No. Housecall Pro, Jobber, FieldEdge and Successware all work. You do need some field service software, because the job history I work from lives there. If you are still on paper and spreadsheets, start with software first.

What if you find nothing worth fixing?

Then the report says so, and I won’t try to sell you a build. You still get the real process map and a measured baseline, which are useful on their own.

In practice, the question is usually which leak to fix first, not whether there is one.

Who owns what you build?

You do. Accounts, configuration, scripts and documentation are set up in your company’s name. Software subscriptions are billed to you directly, so nothing stops working if we part ways.

What happens to my data?

I get read-only access. Everything is covered by a confidentiality clause, and I’ll sign your NDA if you have one. Data is stored encrypted, never shared, and never used to train an AI model.

I delete my copy within 30 days of the readout unless you ask me to keep it for a build.

Do you record calls?

I don’t add call recording to your phones. If your phone system already records calls, I may listen to a sample with your permission, under the consent rules you already follow.

I don’t record staff interviews unless the person agrees first. Nothing in the report names a customer or an employee.

Can you do ServiceTitan data cleanup?

Yes, when it is the fix that pays. Duplicate customers, locations without a membership flag, tag lists nobody uses: the diagnostic measures how much of that there is and what it costs.

Cleanup is often the step before any automation, because a voice agent or a follow-up sequence is only as good as the records it reads.

How much does it cost?

The diagnostic is a fixed fee, set by the size of your operation. I’ll quote it on the first call, before you commit to anything. The fee is credited toward the build if you go ahead within 30 days.

Builds are quoted as a fixed price for a fixed scope, after the diagnostic, never before.

How much of my time does it take?

About two hours of yours: one at the start, one at the readout. Your staff give twenty to thirty minutes each. Someone in the office spends about an hour setting up access and exports.
